How early should I contact SC Events prior to my celebration?

Full-service events must be booked at least two weeks in advance. A preliminary consultation regarding your event is always helpful in making your special day a success!

How many guests can I seat in ... ?

Kimball Ballroom can accommodate up to 330 individuals, seated at round tables of 10 persons per table.
Firestone Baars Chapel can accommodate up to 290 individuals, plus your wedding party.
Historic Senior Hall Recital Hall can accommodate up to 96 individuals, seated at round tables of 8 persons per table.
Windsor Auditorium can accommodate up to 300 individuals.
Charters Auditorium can accommodate up to 120 individuals.

Am I allowed to use candles as decorations?

The Stephens College candle policy varies between venues.
All open-flame candles require some type of platform to prevent wax flow from adhering to woodwork, tables, linens, etc.

In Firestone Baars Chapel, no open flames are allowed within the brick wall. A maximum of four ceremonial open-flame candles are allowed in the space at no additional fee. Open flame candelabras require an additional $50 non-refundable fee. SC Events must approve all other use of open-flame candles within the chapel, and a non-refundable fee may be assessed.

In Kimball Ballroom, open-flame candles are only allowed on the guest tables. Candles are not allowed on the gift tables and will not be lit if placed there. All candles must be enclosed in a container that will hold all wax over-flow.
*Note: Any candles or decorative items placed within the windowsills will prevent the ability to close the shades.

Open flames are not allowed in any other venues, unless given prior approval from SC Events. Seek special approval for candles that will be lit within floral arrangements.

Is event liability insurance required?

Your wedding day is your special day, and it should be perfect. One way to take some of the worry out of your big day and protect your investment is to purchase event liability insurance. This policy will protect you from fiscal responsibility for unforeseen circumstances, such as severe weather or illness, or in the event of any personal injuries or property damage. For this reason, SC Events requires proof of your liability coverage for your special event.

Can I bring my own food?

Any food or drink items to be consumed on the Stephens College premises must come from the Stephens College caterer, Fresh Ideas. The menu is customizable and can be found on the catering page of the SC Events website. However, you can bring in your own cake, candy display, or edible favors.

What does the catering price include?

Your all-inclusive price will cover everything you need, from linens and china to cake-cutting and service staff.
*Note: Pricing is based on a full-service meal – a la carte items are subject to additional charges.

What does the venue rental include?

The venue rental will include the use of the venue for the day. Your tables, chairs, construction and set up of your layout, as well as clean up following your celebration are also included.
*Note: No decoration of the venue is included.

How do I reserve a venue?

In order to reserve a venue, you must complete and return a contract with a 25% deposit on the room rental. All event reservations are subject to availability at the time your completed contract and deposit are received. Your deposit will be credited to your total room rental charge.

What are the office hours for SC Events?

The office of SC Events is open from 9:00 a.m. to 5:00 p.m. Monday through Friday, with the exception of certain holidays and summer hours. We would love to schedule a tour with you during these hours!
